Pieter, Tine and Giandra discussing a strategy

A good kickoff meeting is like Sunday cookies: a good start is half the battle. Just like cookies are the start of a wonderful Sunday, a strong kickoff meeting determines the success of a new marketing or website project.

What is a kickoff meeting?

A kickoff meeting is the first meeting at the start of a project. During this meeting, the team sits down with the customer and discusses the project from A to Z. No detail is left untouched. The purpose of the project is addressed, everyone involved in the project gets to know each other, and we review deadlines and important touchpoints.

The goal of a kickoff meeting

During a kickoff meeting, all those involved in the project get to know each other, we discuss the scope of the project and establish a clear timeline.

Get to know the team

From marketing strategy and ad design, to advanced web design, technical development and project management: each component of a project has a face at Purple Panda. During the kickoff meeting, all team members – including their expertise – are addressed. On the one hand, it’s nice to be able to put a face to each component of the project and get to know each other. On the other hand, this eliminates any form of doubt about who is responsible for a certain component of the project: tasks are clearly and transparently defined.

Is everyone on the same page?

A kickoff meeting ensures that everyone is on the same wavelength. By thoroughly discussing the project, we ensure that everyone involved in the project understands it. Not only the obvious details are important, we pay attention to smaller and ‘less important details’ as well. The scope of the project must be clear to everyone.

The timeline as anchor of a project

The importance of a clear timeline cannot be underestimated. During a kickoff meeting, we discuss the entire timeline, reducing it to 3 key questions:

  • What happens when?
  • What are the deadlines?
  • When do we need assets, input or feedback from the customer to achieve these deadlines?

Agreeing on these deadlines and touchpoints is crucial, so that all parties know when they need to give input, or provide certain assets.

The debrief

Just as important as the kickoff meeting itself, is the debrief. All discussed points are sent by email and touchpoints are scheduled in calendars. Like this, everyone – the entire team and the end customer – is on the same page.
